- How does the free trial work?
- You get full access for 7 days. We take a card up front so your practice keeps running the moment the trial ends — you can cancel any time before then and you won't be charged.
- What counts as a provider?
- A provider is a team member with a clinical seat — their own calendar, their own charting, their own signed notes. Team members without a clinical seat (front desk, billing, marketing, and admins who don’t see patients) are free and unlimited.
- Do patients count toward my price?
- No. Patients are unlimited on every plan — your price only depends on how many providers your practice has.
- Can I add a provider mid-month?
- Yes, instantly. You're charged a prorated amount for the rest of the current billing period, then the new seat just joins your regular bill.
- What if a provider leaves?
- Deactivate their account and the seat stops billing at your next cycle. Their charts and history stay intact — deactivating a provider never deletes clinical records.
- Can I switch between monthly and annual?
- Yes, any time from Settings → Plan & billing. Annual is 12 months for the price of 10.
- Is my patient data safe?
- Yes. CareFlow HQ is built for HIPAA from day one — encrypted storage, strict per-practice data isolation, full audit trails, and a signed Business Associate Agreement for every practice.
- Do you help me move my existing patients over?
- We do. Reach out during setup and we will help you import patients from spreadsheets or another system.
